Trucking insurance X-dates from FMCSA filings
An X-date is the day a prospect's current policy renews. For trucking, you can find it in public FMCSA data: every active liability filing lists the policy's effective date, and since most trucking liability policies run 12 months, its month and day are usually the renewal date. In the 17 states we track, about 13,000 active carriers have one 30 to 60 days out.
Counts are from First Load's weekly pull of FMCSA's active and pending insurance file on data.transportation.gov, as of October 26, 2026.
Where do trucking X-dates come from?
From the insurer's own filing. Every for-hire carrier proves its liability coverage to FMCSA, and FMCSA publishes each active policy in its active and pending insurance dataset: the insurer, the policy number, the coverage amount, and the effective date.
The year in that effective date isn't reliable, but the month and day mark the policy anniversary. Join it to the carrier's registration and you get the company, the officer, the phone and email they gave FMCSA, and the trucks they run.
Why work renewals 30 to 60 days out?
It's early enough to get a requote done before the carrier signs the renewal. Inside 30 days, there may not be time to collect loss runs and come back with a number before the renewal takes effect.
Renewals are also a different buyer than a new authority. They've run for a year, they know what they paid, and the question on their mind is whether the renewal price is fair. Federal rules require the coverage to stay in effect continuously (49 CFR 387.7), so they will buy something. The only question is from whom.
How many renewals are in each state?
Active carriers with a liability anniversary 30 to 60 days out, in the states we track today:
| State | Renewals, 30 to 60 days out |
|---|---|
| California | 2,742 |
| Texas | 1,982 |
| Illinois | 1,340 |
| Pennsylvania | 1,027 |
| Ohio | 986 |
| Florida | 976 |
| Georgia | 780 |
| North Carolina | 707 |
Other states are added when an agency there asks for them.
What's in an X-date record, and what isn't?
Each record has the carrier's current insurer, policy number and coverage limit, plus the anniversary date. We drop policies with a cancellation already pending (those lapse, they don't renew), keep only the most recent primary policy for carriers with more than one, and keep only carriers that are active with an active MC.
What it doesn't have is the premium. You'll learn that on the call, and it's the number the whole conversation is about.
How do you work a renewal?
- Name the date and the coverage. "Your $750,000 liability renews around December 3" shows you've done the homework.
- Offer a second number, not a switch. A free comparison is an easier yes than a sales pitch.
- Ask for the renewal offer and loss runs. With both, you can tell them in a day whether you can beat it.
- Set a follow-up before their date. If you can't beat it this year, you know exactly when to call next year.
Can you get renewals emailed for you?
Yes. For one agency per state, we email carriers coming up on renewal along with new authorities and recent lapses, from inboxes in your agency's name with your license number. Replies go straight to you, and the dashboard's Renewals tab lists every X-date in your state each morning.
A Texas agency on the same setup had 8 carriers ask for a quote or say when they need coverage in its first 12 days (October 2026).
Questions agents ask
What is an X-date in insurance?
It's the expiration or renewal date of a prospect's current policy. Agents use it to time the call, so they reach the prospect while there's still time to quote before the renewal is signed.
Are trucking X-dates public?
The policy effective date is. FMCSA publishes each active liability filing with its effective date, and the month and day are the anniversary. The premium is never public.
How far before the renewal should I reach out?
We use 30 to 60 days. That leaves time to collect the renewal offer and loss runs and come back with a quote before the carrier signs.
Can I see renewals for my state?
Yes. The live dashboard runs on today's data with contact details masked, including the Renewals tab.
